Band Booster Meeting Minutes

November 3, 2020

The meeting was called to order by President Melissa Howell at 7:02 p.m.  Twenty-Two members were present.

Melissa asked everyone to review the minutes of the last booster meeting.  Booster meeting minutes are available on the band website (www.svhsband.com)  A copy was also provided at the meeting.  A motion was made by Derek Sandehoefner to accept the meeting minutes as presented.  Motion was seconded by Joy Jackson.

Treasurer Report:

Rochelle McClanahan presented the Treasurer’s report.  A copy of the current financial report was distributed to booster members.  Rochelle stated the report is current as of today.  A motion was made to approve the treasurers report by Paul Barton and seconded by Tim Wheeler.

Band Director Report:

Mr. Childress stated booster members can start setting up for the fundraiser at the football stadium at 2:00 p.m. on Friday, November 6, 2020.  We can use the warmers in the concession stand to keep the food heated, but will need coolers to ice the drinks down.  Discussion was held about where to set up the grill team.  Mr.  Childress suggested staggering the arrival time to keep people socially distanced and get everyone through the food line.  The band kids will eat at 5:00 p.m., then start with families of senior students arriving at 5:45 p.m. and space out groups in 15 minute intervals.  He also suggested markings on the pavement for the flow of traffic. 

On November 18, 2020 Canyon High School will host a Comal Marching Showcase in New Braunfels.  That is an early release date and the students will leave school by 4:00 p.m.  Only four bands will be performing.  Warm up will be in the staff parking lot at Canyon High School.  We will provide nine buses for transportation, but encouraging kids who can drive to drive themselves to socially distance on the buses.  The bus normally seats fifty-six kids, but Mr.  Childress is hoping to only put twenty kids per bus.  The target warm up time is 6:00 p.m.  Davenport High School will perform first, followed by Canyon Lake, SV and Canyon High School is last.  All four bands will be playing Don’t Stop Believing at the end in a mass performance.  All uniforms will return home with the buses and not the students. 

Our last home game will be held November 27, 2020 at 2:00 p.m.  Mr. Childress said it’s been interesting making so many changes this year and that the kids are doing a good job with all the changes and looking good as a band.  He is still looking at what a Christmas concert would look like this year.  It may be live streamed to parents so we can see the performance, but not gather in one place.  No decision has been made but he will look at options.

Committee Reports:

Silent Auction:  Five hundred sausage wraps have been sold to date.  Food preparation should be done behind the scene and not in view of attendees.  We have eight volunteers serving food.  Jennifer Diaz commented we need fifteen tables for the silent auction baskets.  Discussion was held about details of the silent auction items and how to display them.

Uniforms:  Lisa Pattison stated the new uniforms have arrived and are hung up.  Uniform department is working to get all the kids fitted to wear the uniforms at the game this week and at the fundraiser.

Melissa Howell mentioned we have a few sponsors and we will give them tickets to the fundraiser if they are interested in attending.

Lisa Pattison made a motion to adjourn the meeting and the motion was seconded by Tim Wheeler.  The meeting was adjourned at 7:50 p.m.
