May 2021 Band Booster Meeting Minutes

Band Booster meeting

May 4, 2021 

President Melissa Howell called the meeting to order at  6:37 p.m.   Fifteen members were present.

Melissa asked everyone to review the minutes of the last booster meeting.  Booster meeting minutes are available on the band website (www.svhsband.com).  A copy was also provided at the meeting. A motion was made by Jennifer Diaz to accept the meeting minutes as presented.  Motion was seconded by Lisa Houcher.

Treasurer Report:

Rochelle McClanahan presented the Treasurer’s report. 

A copy of the current financial report was distributed to booster members.  Rochelle McClanahan stated the report is current as of today.  See report for details.  Jennifer Clark made a motion to accept the treasurers report and the motion was seconded by Erin Young.

Band Director Report:

Mr. Childress reported is has been a busy time of year.  He reported that for the first time ever, all four bands earned straight 1’s across the board at UIL this year.  Congratulations to all the SV bands.  Auditions for the State Solo & Ensemble contest is approaching.  This year it will be remote and the students will submit recordings of their music.  The auditions will be completed by May 21st.  SLT packets have gone out to begin interviews for the student leadership team for next school year. 

Mr. Childress reported he may be able to host first steps this year on May 18th.  First Steps is a program that teaches 8th graders planning to join band some of the basics.  If he is able to host it, booster club will need to provide a meal for the kids and it has to be something that is individually wrapped.  Mr. Childress wants to bus the kids from Smithson Valley Middle School and Spring Branch for First Steps to get more kids to participate.  Close to pick up time, parents are invited to learn more about the band program and how they can participate in booster club.

He anticipates a drop in the number of students in band next year.  We have lost a lot of students due to Covid and with the new school opening we could lose a few more.  Percussion and the student leadership team will start summer band camp the last week of July.  Summer Band Camp will start for everyone else on Monday, August 2, 2021.  We may have students come in the last week of July to measure the new students for summer uniforms and possibly have registration that early as well.  A suggestion was made to send post cards to the middle school students to get them interested in continuing band in high school. 

Presidents Report:

Melissa Howell stated it might be a good idea to set up a Remind message to everyone instead of email for booster information.  A Band App was also suggested to use to keep booster members informed. 

Brandon Koop and Riley Blackmon shared their ideas for band banquet.  It is happening on Thursday, May 20 at the Milestone in New Braunfels.  They have great parking.  The venue cost is only $500, but we have to use their catering. The cost of catering is $21 per person.  The price including linens, venue and food comes out to $9,232.  The photographer is around $300.  The cost to print tickets is $372.  They ordered 310 plates. Decoration expense will be fairly low.  DJ and sound equipment will be provided by Tim Wheeler.  $10,172.63 is the estimated total cost.  Ticket pricing will be determined by the amount of donation Booster gives.  It is currently limited to band members only.  Ticket sales will be sold in waves to insure the seniors can go if they want to.  It was mentioned that the sophomores and freshmen are unaware of band banquet because we didn’t have one last year.  Brandon, Riley and the teachers will start promoting it to the students. Drum Majors will help with ticket sales before or after school.  Band officers will also help by making sashes.  A flat rate of $25 per ticket is what they are thinking of pricing them.  The Form site can be used for ticket sales and set up a day or two to distribute them

Jennifer Clark volunteered to chair spirit baskets next year and Lisa Houcher volunteered to chair the spirit booth.

Discussion of the 2021-2022 booster budget was held and line items adjusted.  Copy of changes kept with the Treasurers information.  Lisa Pattison made a motion to accept the budget changes for the 2021-2022 plan.  It was seconded by Erin Young.

No further business was discussed at the meeting.  A motion was made to adjourn the meeting by Susan Adams and seconded by Marisa McBrayer. The meeting was adjourned at 8:59 p.m

April 2021 Band Booster Meeting Minutes

April 6 , 2021

The meeting was called to order by President Melissa Howell at 7:05 p.m.   Nine members were present.

Melissa asked everyone to review the minutes of the last booster meeting.  Booster meeting minutes are available on the band website (www.svhsband.com).  A copy was also provided at the meeting. A motion was made by Rochelle McClannahan   to accept the meeting minutes as presented.  Motion was seconded by Jennifer Clark.

Treasurer Report:

Rochelle McClanahan presented the Treasurer’s report. 

A copy of the current financial report was distributed to booster members.  Rochelle McClanahan stated the report is current as of today.  See report for details.  Rochelle asked that all invoices that need to be paid are submitted as soon as possible but not later than the end of May.

A motion was made to approve the treasurers report by Erin Young and seconded by Lisa Pattison.

Band Director Report: 

Mr. Andrade reported we have thirty-three entries certified to participate at State Solo and Ensemble.  He is encouraging kids to participate in the virtual contest which is on May 15, 2021.  We will have a live accompanist so fees will be taken for this event.  For twirling, Mr. Childress still trying to find out information. He believes this will also be a virtual event that will be submitted via video recording.  He will be present and he will help them with the recording.

The UIL Concert and Sight Reading Contest will be on April 15 and April 16.  Mr. Childress asked for one or two chaperones for each group.  Chaperones will not be allowed into the building to watch bands performance. 

Our spring concert will be held on May 13th.  Details will come as he is trying to have a limited live audience.  He also hopes to be able to live stream the performances of the color guard at this concert. 

Band Banquet is being planned by Rylie Blackmon and Brandon Koop.  They have made contacts and are trying to secure a large affordable venue for the event.  Responses from venues have been slow.  If the event happens, any social media photos posted MUST have every person wearing a mask.  Catering must be served by the catering company, or pre-packaged before delivery.  No one may serve themselves food or drink.  Any parent attending the event will have to sit/eat in a separated area from the students. 

Mr. Andrade thanked Mrs. Howell, Mrs. McClanahan, and Mrs. Diaz for volunteering to participate as our scholarship committee.  Mr. Childress is working on a system of anonymity and will email entries (without names) to each of them to complete a rubric based score.

A slate of officer positions was presented by Melissa Howell.  No additional candidates were received from the floor.  A vote was held and the following officers were unanimously elected for the 2020-2021 band booster board.

Other Business:

Erin Young asked the board if we could spend $17 per kid to have them trained in CPR and First Aid.  Miranda Young initiated a program called Band-Aids which will help train band students to handle first aid throughout the year.  They estimate this will be about fifteen kids that get trained. Training would happen through the local fire department. 

We have about twenty kids that have submitted recipes.  Asking Mr.  Childress to send out a Cut-time asking kids to submit recipes.  The deadline is April 19th

Jennifer Clark made a motion to adjourn the meeting and the motion was seconded by Rochelle McClanahan.   The meeting was adjourned at 7:48 p.m.

September 2020 Booster Meeting Minutes

Band Booster Meeting Minutes

September 1, 2020

Due to the school closure and stay at home orders, the meeting was held via Google Meeting App. The meeting was called to order by President Melissa Howell at 7:00 p.m.     29 members were present.

Melissa asked everyone to review the minutes of the last booster meeting.  Booster meeting minutes are available on the band website (www.svhsband.com).  A motion was made to accept the meeting minutes as presented and was seconded.

Treasurer Report:

Rochelle McClanahan presented the Treasurer’s report. 

Rochchelle McClanahan stated the report is current as of today.  See report for details.  A motion was made to approve the treasurers report and seconded.

Current Business:

Discussion was held regarding the little trailer needing reflections and the blue trailer requires inspection. 

There was also a discussion about how to better handle booster membership information and payment at registration.  Various opinions were shared. 

Joy Jackson mentioned holding an online auction this year in lieu of the fajita dinner fundraiser.  The idea was stated that section baskets would be a fun tradition to continue.

The first home game will be a scrimmage on September 17.  Band will not play at this game.  Senior night will be at the game on September 25th and half the band will be performing.  Mr.  Childress split the band into two groups to all safe distancing in the stands between band members.  Laurie Rodrigues showed the template for the senior banners that are being made.  Each one has the instrument added to show what the senior plays.  Banners cost $20 each and band booster will pay for them.

Paul Barton made a motion to adjourn the meeting and the motion was seconded by Tim Wheeler.   The meeting was adjourned at 7:30 p.m.

March 2021 Booster Meeting Minutes

March 2, 2021 

President Melissa Howell called the meeting to order at  7:04 p.m.   Eleven members were present.

Melissa asked everyone to review the minutes of the last booster meeting.  Booster meeting minutes are available on the band website (www.svhsband.com).  A copy was also provided at the meeting. A motion was made by Jennifer Diaz to accept the meeting minutes as presented.  Motion was seconded by Erin Young.

Treasurer Report:

Discussion was held about getting four new tires for the small trailer this year.  Tim Wheeler will handle it.

A motion was made to approve the treasurers report by Jennifer Diaz and seconded by Derek Sandhoefner.

Band Director Report:

Mr. Childress reported that  solo and ensemble was held at SV on February 27, 2021 and went well.  The jazz band still has to perform.  Fifty-One students participated and Fifty-Two kids earned a 1 score.  Thirty-Eight kids qualified for state.  The state program will be virtual this year and not in person.  Mr.  Childress will get a live accompanist and record the students for the state competition. 

The Pre- UIL Concert will be changed to the Thursday after spring break, March 25 to give the students an additional week of practice.  UIL Contest is still scheduled for April 14-16 in Seguin.  The exact dates SV will be attending will be finalized in a few weeks. 

The band banquet is on the calendar for Thursday, May 20, 2021, but it has not been confirmed whether it will be approved by district to proceed with it.   

Presidents Report:

Melissa Howell stated we are going to create a band cookbook, as a booster fundraiser.  They will set up a google form for the students to create artwork for the cookbook cover. It will be a contest.   Booster will also utilize form site to allow parents to order the cookbook. 

All Booster officer position are filled for the 2021-2022 year and will be voted on in April.  Spirit Booth, Spirit Baskets, Sponsorship, Props, Fajita Dinner, Water, Publicity/Website are a few of the open committee chair positions. 

No further business was discussed at the meeting.  A motion was made to adjourn the meeting by Melissa Howell and seconded by Jennifer Diaz.  The meeting was adjourned at 7:34 p.m.

February 2021 Booster Minutes

Feb 2, 2021 

President Melissa Howell called the meeting to order at  7:05 p.m.  Fourteen members were present.

Melissa asked everyone to review the minutes of the last booster meeting.  Booster meeting minutes are available on the band website (www.svhsband.com).  A copy was also provided at the meeting. A motion was made by Pam Millard to accept the meeting minutes as presented.  Motion was seconded by Jennifer Diaz.

Treasurer Report:

Band Director Report:

Mr. Childress reported that we are gearing up for the winter concert on Tuesday Feb 9, at 6:30 p.m.   The concert will be in auditorium and live streamed so Parents can watch from home.  He wants to continue to have all the students at the entire concert and live stream in the future, even when parents can attend because it gives more people the opportunity to see it.  The last concert that was live streamed had over 2,400 people watching it.

Mr.  Childress reported that Solo and Ensemble will be held on February 27, 2021.  In the past, top two ensembles have been required to perform, however this year it is optional.  They are finding it is harder to get judges this year due to Covid 19.  Solo and Ensemble will still be held in person at SV, but it will just be SV and Canyon High School students.  Mr. Childress said he will need five or six parents to be room monitors to make sure the music and paperwork flows efficiently.  He also wants Band Booster to provide food for the judges that day.  He stated that adjustments will be made for siblings so they can perform in the same time period or for students that have a track meet or other school function that day.

He told the members that he is waiting to get details about UIL this year.  The dates will be April 14, 15, 16, but waiting to see times.  We will perform at Seguin High School this year since we won’t be participating in the one that was previously hosted by northeast ISD.  He will let parents know the details regarding transportation to Seguin once they are determined.  There will not be any visitors at UIL this year to watch the performance.

Winter guard is planning to put on a spring show.  There isn’t a date set or approval yet, but he is trying to do a showcase performance hosted at SV for the four Comal ISD high schools this year.   

Mr. Childress is not certain if we will have a band banquet yet or not.  He stated that he has not been receiving answers from district for anything past spring break.

A question was asked about the band camp scholarship in our budget and discussion was held.  It hasn’t been awarded for a few years, but Mr.  Childress will get more information about it for going forward.

Presidents Report:

Melissa discussed how we lost our main fundraising opportunities this year due to Covid 19 restrictions.  She suggested the idea of a Quarantine Cookbook as a fundraiser with recipes from the band families.   Depending on the quantity printed, the cost could be as low as $3-$5 per book.  She will put something together that can go to the parents and can utilize formsite for the ordering.  Erin Young suggested doing a contest for the cover of the cookbook with the students.

Melissa also reported on a cup vendor that we could use for a fundraiser or for spirit booth next year.

Next month we need to have nominations for committee members and board positions so we can vote on it in April.  Vacant spots anticipated are water chair, publicity and graphic design, nurse, website, spirit booth, props, sponsorship, secretary, flamingo fundraiser, and silent auction team.  Jennifer Diaz stated she will help with section baskets again.

November 2020 Booster Minutes

November 3, 2020

The meeting was called to order by President Melissa Howell at 7:02 p.m.  Twenty-Two members were present.

Melissa asked everyone to review the minutes of the last booster meeting.  Booster meeting minutes are available on the band website (www.svhsband.com)  A copy was also provided at the meeting.  A motion was made by Derek Sandehoefner to accept the meeting minutes as presented.  Motion was seconded by Joy Jackson.

Treasurer Report:

Rochelle McClanahan presented the Treasurer’s report.  A copy of the current financial report was distributed to booster members.  Rochelle stated the report is current as of today.  A motion was made to approve the treasurers report by Paul Barton and seconded by Tim Wheeler.

Band Director Report:

Mr. Childress stated booster members can start setting up for the fundraiser at the football stadium at 2:00 p.m. on Friday, November 6, 2020.  We can use the warmers in the concession stand to keep the food heated, but will need coolers to ice the drinks down.  Discussion was held about where to set up the grill team.  Mr.  Childress suggested staggering the arrival time to keep people socially distanced and get everyone through the food line.  The band kids will eat at 5:00 p.m., then start with families of senior students arriving at 5:45 p.m. and space out groups in 15 minute intervals.  He also suggested markings on the pavement for the flow of traffic. 

On November 18, 2020 Canyon High School will host a Comal Marching Showcase in New Braunfels.  That is an early release date and the students will leave school by 4:00 p.m.  Only four bands will be performing.  Warm up will be in the staff parking lot at Canyon High School.  We will provide nine buses for transportation, but encouraging kids who can drive to drive themselves to socially distance on the buses.  The bus normally seats fifty-six kids, but Mr.  Childress is hoping to only put twenty kids per bus.  The target warm up time is 6:00 p.m.  Davenport High School will perform first, followed by Canyon Lake, SV and Canyon High School is last.  All four bands will be playing Don’t Stop Believing at the end in a mass performance.  All uniforms will return home with the buses and not the students. 

Our last home game will be held November 27, 2020 at 2:00 p.m.  Mr. Childress said it’s been interesting making so many changes this year and that the kids are doing a good job with all the changes and looking good as a band.  He is still looking at what a Christmas concert would look like this year.  It may be live streamed to parents so we can see the performance, but not gather in one place.  No decision has been made but he will look at options.

Committee Reports:

Silent Auction:  Five hundred sausage wraps have been sold to date.  Food preparation should be done behind the scene and not in view of attendees.  We have eight volunteers serving food.  Jennifer Diaz commented we need fifteen tables for the silent auction baskets.  Discussion was held about details of the silent auction items and how to display them.

Uniforms:  Lisa Pattison stated the new uniforms have arrived and are hung up.  Uniform department is working to get all the kids fitted to wear the uniforms at the game this week and at the fundraiser.

Melissa Howell mentioned we have a few sponsors and we will give them tickets to the fundraiser if they are interested in attending.

Lisa Pattison made a motion to adjourn the meeting and the motion was seconded by Tim Wheeler.  The meeting was adjourned at 7:50 p.m.

October 6, 2020

Due to Covid -19 restrictions, the meeting was held via Go to Meeting App. The meeting was called to order by President Melissa Howell at7:32 p.m.  Twenty-Four members attended the meeting.

Melissa asked everyone to review the minutes of the last booster meeting.  Booster meeting minutes are available on the band website (www.svhsband.com).  A copy was also provided at the meeting. A motion was made by Jennifer Diaz to accept the meeting minutes as presented.  The motion was seconded by Rochelle McClanahan.

Treasurer Report:

Rochelle McClanahan presented the Treasurer’s report.  She reported over budget on membership and that senior banners were on budget.

A copy of the current financial report was distributed to booster members.  Rochelle McClanahan stated the report is current as of today.  See report for details.  A motion was made to approve the treasurers report by                                                        Erin Young and seconded by Lynn Kupper.

Band Director Report: 

Mr. Childress reported he is working on approval to hold our next booster meeting in person on the band pad where members can bring their lawn chairs and social distance during the meeting.  We will not be attending UIL this year, however on November 18, 2020 we will participating in a Comal Marching Showcase that will be held at Canyon High School in New Braunfels.  Comal ISD will be selling tickets to this event so parents can go watch.  He is ordering nine busses to take the band to this event, but students that drive can drive themselves to socially distance.

Mr. Childress would like to see an event similar to our fajita dinner/silent auction, but held at the football stadium so we could socially distance, eat a meal in the stands have the silent auction fundraiser and the band would perform.  Booster club will figure out details and two dates to consider are November 6 or December 4th.  He suggested we invite the middle school bands to attend and get on the field to perform with SV Ranger band so they get that experience.  In the event of bad weather, we could move into the cafeteria and have the silent auction items lined up down the B wing hall.

He suggested the idea of putting together a community show or advertising for parents to attend Monday night practices.  We would need volunteers to keep families spaced out in the stands.  He would also like water volunteers on Monday night practices so the kids are not spreading germs filling their camelbacks. 

Mr. Childress is checking with Donna Moore to see if we can increase our volunteer numbers at the October 16th game by four people.  This will help to have volunteers for water duty and to have a booster spirit booth.

He also mentioned we have a large number of students that are not passing and will not be able to attend the October 16 game if their grades do not improve. New uniforms have not arrived yet but scheduled to arrive near the end of October. 

Other Business:

Melissa Howell mentioned she spoke with Nikki Yarborough about donations for the fajita dinner fundraiser and this year most of the vendors that donate food will not be able to participate because their businesses have struggled through Covid-19 closures.  Many items regarding the fajita dinner were discussed and the board will have a separate meeting to finalize plans. 

Melissa also reminded parents to use the Amazon Smile account when ordering from Amazon because booster received a portion of the amount.  Rochelle McClanahan said she will post a reminder on the booster Facebook page about Amazon Smile.  Susan Adams suggested we post it in the individual class pages on Facebook.  Finally, all parents were reminded to complete a background check to volunteer.    Lisa Pattison made a motion to adjourn the meeting and the motion was seconded by Pam Millard.   The meeting was adjourned at 8:38 p.m.

SVHS Band Boosters 2020-2021

The SVHS Band Boosters need YOU! We have many opportunities available!

Being a part of the booster club is also a great opportunity to get involved in your students activities and to keep up with what is going on with the band/color guard. Meetings are held at 6:30pm the first Tuesday of each month (excluding June, July, December and January). Location (or Zoom) to be determined.
