Band Booster meeting
May 4, 2021
President Melissa Howell called the meeting to order at 6:37 p.m. Fifteen members were present.
Melissa asked everyone to review the minutes of the last booster meeting. Booster meeting minutes are available on the band website (www.svhsband.com). A copy was also provided at the meeting. A motion was made by Jennifer Diaz to accept the meeting minutes as presented. Motion was seconded by Lisa Houcher.
Rochelle McClanahan presented the Treasurer’s report.
A copy of the current financial report was distributed to booster members. Rochelle McClanahan stated the report is current as of today. See report for details. Jennifer Clark made a motion to accept the treasurers report and the motion was seconded by Erin Young.
Band Director Report:
Mr. Childress reported is has been a busy time of year. He reported that for the first time ever, all four bands earned straight 1’s across the board at UIL this year. Congratulations to all the SV bands. Auditions for the State Solo & Ensemble contest is approaching. This year it will be remote and the students will submit recordings of their music. The auditions will be completed by May 21st. SLT packets have gone out to begin interviews for the student leadership team for next school year.
Mr. Childress reported he may be able to host first steps this year on May 18th. First Steps is a program that teaches 8th graders planning to join band some of the basics. If he is able to host it, booster club will need to provide a meal for the kids and it has to be something that is individually wrapped. Mr. Childress wants to bus the kids from Smithson Valley Middle School and Spring Branch for First Steps to get more kids to participate. Close to pick up time, parents are invited to learn more about the band program and how they can participate in booster club.
He anticipates a drop in the number of students in band next year. We have lost a lot of students due to Covid and with the new school opening we could lose a few more. Percussion and the student leadership team will start summer band camp the last week of July. Summer Band Camp will start for everyone else on Monday, August 2, 2021. We may have students come in the last week of July to measure the new students for summer uniforms and possibly have registration that early as well. A suggestion was made to send post cards to the middle school students to get them interested in continuing band in high school.
Melissa Howell stated it might be a good idea to set up a Remind message to everyone instead of email for booster information. A Band App was also suggested to use to keep booster members informed.
Brandon Koop and Riley Blackmon shared their ideas for band banquet. It is happening on Thursday, May 20 at the Milestone in New Braunfels. They have great parking. The venue cost is only $500, but we have to use their catering. The cost of catering is $21 per person. The price including linens, venue and food comes out to $9,232. The photographer is around $300. The cost to print tickets is $372. They ordered 310 plates. Decoration expense will be fairly low. DJ and sound equipment will be provided by Tim Wheeler. $10,172.63 is the estimated total cost. Ticket pricing will be determined by the amount of donation Booster gives. It is currently limited to band members only. Ticket sales will be sold in waves to insure the seniors can go if they want to. It was mentioned that the sophomores and freshmen are unaware of band banquet because we didn’t have one last year. Brandon, Riley and the teachers will start promoting it to the students. Drum Majors will help with ticket sales before or after school. Band officers will also help by making sashes. A flat rate of $25 per ticket is what they are thinking of pricing them. The Form site can be used for ticket sales and set up a day or two to distribute them
Jennifer Clark volunteered to chair spirit baskets next year and Lisa Houcher volunteered to chair the spirit booth.
Discussion of the 2021-2022 booster budget was held and line items adjusted. Copy of changes kept with the Treasurers information. Lisa Pattison made a motion to accept the budget changes for the 2021-2022 plan. It was seconded by Erin Young.
No further business was discussed at the meeting. A motion was made to adjourn the meeting by Susan Adams and seconded by Marisa McBrayer. The meeting was adjourned at 8:59 p.m
